Changing the billing address sounds like something that should be simple. And it is—in principle. In practice, bureaucracy and systems sometimes make it a bit like trying to teach a cat to sit. It can be done, but it takes patience.
Why isn't the change showing yet?
The most common reasons are mundane:
- The change wasn't saved properly. The form was filled in, but the confirmation button wasn't clicked to finish. A classic.
- The update is in a queue. Billing systems don't always update in real time. A delay of a few business days is normal, even if it's annoying.
- The old address is still attached to an open order. If you have an order in processing, it may still use the old billing address. The new address takes effect starting from the next order.
- The message didn't reach us. Emails sometimes get lost. Spam filters are unpredictable creatures.
How to make sure the change
- Log in to your account at valco.fi
- Open your customer details and check that the billing address has been updated correctly
- Save the changes – make sure you actually press that button all the way through
- Check your email – if you received a confirmation message, you're all set
If you're making the change by email, include these details in your message:
- Order or customer number (found in the order confirmation)
- Old billing address (so we know what's being changed)
- New billing address in full
- Possible e-invoice address and operator ID, if it's a company
A clear message speeds up processing. We're not mind readers—although once the Death Star is completed, that might change too.
If the change doesn't go through
Sometimes the system is stubborn. No worries.
- Send an email to info@valco.fi and explain the situation. Include the details listed above.
- We'll update the address manually. In this discipline, a human beats a machine too.
- If you have an urgent invoice coming up, mention that as well. We'll prioritize it.
Business customers: if your billing instructions change completely (operator, intermediary, OVT ID), please notify us of the change well before your next order. Fixing things afterwards is always harder than telling us in advance.
That's about it. Changing the billing address is a small thing, as long as the information gets through. And if it doesn't, we'll fix it—just like we fix headphones. Though we don't charge separately for fixing a billing address. Yet.
